Trial terms
- • 14 days from activation or 25 processed invoices — whichever comes first.
- • Full access to the Professional feature set (approvals, purchase requests, multi-org).
- • No credit card required. We won’t auto-charge you at the end of the trial — you’ll need to actively pick a plan to continue.
- • Fair-use applies to AI extraction and the AP Assistant to keep model costs sustainable during the trial.

Frequently asked questions
How does the free trial work?
Every plan includes a 14-day free trial with the Professional feature set. Trials are capped at 25 processed invoices to keep AI costs fair — whichever limit you hit first ends the trial. No credit card is required to start.
What if I have more Xero entities than my plan includes?
Each plan includes a set number of Xero organisations, and additional ones are $29 per entity per month. The count is worked out from the organisations actually connected to your account and added to your subscription at checkout — there is nothing to opt into and nothing hidden. A group with fifteen entities on Business, for example, pays $799 plus five additional entities.
What happens if I exceed my monthly invoice limit?
You'll see a warning banner at 80% of your cap. At 100%, new invoice uploads and AI extraction are paused until you upgrade or the next billing period. Existing documents, approvals and posting continue to work.
Can I switch plans later?
Yes — upgrade or downgrade any time from your billing dashboard. Changes take effect immediately and your invoice quota adjusts on the spot.
Do you support currencies other than AUD?
Yes. APBuddy extracts whatever currency appears on the invoice and posts it to Xero in the appropriate currency.
Do I need my own Xero developer app?
No — you connect your Xero organisations through our standard OAuth flow. On Business we can also configure a bring-your-own-app model for whitelisted redirects.
